Softech has performed a number of successful application, conversion, and migration and upgrade projects. The following is a sample of the type of successful projects that Softech has performed for their ECM clients.
Application Development Projects
This project's objective was installation of an Application Workflow System Solution that is connected to the IBM FileNet system. This application allows government agency users to manage the creation and versioning of all forms that are used throughout the state:
Requests for new forms are submitted on-line;
Templates are provided to requestors by email and approvals are generated
New versions are published to the Intrans web site automatically
All processing is handled through electronic documents; there is no scanning component
For this state Human Resources agency the project focus was installation of an Application Workflow System Solution that is connected to the IBM FileNet system. This application will handle the processing and archival of virtually all aspects of the HR process that includes the following:
Position posting, application and hiring
Employee promotions, transfers, evaluations, raises, etc; drug and medical testing
Grievance processing and training requests
The HR agency utilizes Softech's DataTran product to import images from their OCR for Forms capture product, as well as Softech's Offline Content Access product for document distribution. In addition, they maintain a FileNet software support contract with Softech.
The application accommodates both paper and electronic documents, and potentially will interface with the state personnel office database. Multiple state agencies will utilize the application for storage and workflow processing. Each HR dept has visibility and access into its own files without the overhead of multiple systems, repositories, administrators and the like.
Softech Conversion and Migration Projects:
This county has adopted IBM FileNet P8 as the county-wide enterprise ECM solution. As part of initiative, the county contracted with Softech to migrate all of its FileNet Panagon systems including IDM IS and Report Manger to the new IBM FileNet P8 platforms. As part of this project Softech performed a number of tasks:
Converted the several components of the county assessor applications from Panagon Image Services to P8 including data capture import from the mainframe, custom capture indexing and database look-up, custom query using P8 WorkPlace XT.
Developed new P8 applications including capture, retrieval, and electronic forms for Purchasing Order processing
Developed new P8 applications including capture, mainframe integration, retrieval, and electronic forms for Human Resource New Hire application
Developed new P8 pilot application for District Attorney for capture, eDiscovery, and retrieval
Developing custom applications for Health Services Agency to provide capture, retrieval, workflow for General Relief processing
Softech worked with a state DOT Traffic Safety agency to consolidate its ECM Crash FileNet Image Services system to the DOT Records Management P8 ECM system. The ECM Crash system is being used to archive traffic accidents reports. Now that the consolidation is completed Softech supports the ARC applications and the system.
Softech provided the migration service for a large manufacturing company to export IBM FileNet eForms (version 5.01) and their metadata from FileNet Content Services server 5.4.x, convert them to PDF, and then import PDF forms along with metadata to FileNet P8 Content Manager 4.5. The challenge for this project is the FileNet eForms PDF publishing API can only convert an eForms document into a static PDF document, but not a PDF form. What it means is if the eForms has a drop box/combo box, the converted PDF doc will show a text field. If there is a scrollable field with value longer than the visible field length, the converted PDF document would only display the visible part of the text without the ability to scroll or click the mouse over to see the remaining of the text. Softech developed a tool to convert eForms document to a PDF form which would carry over all of the scrollable fields, drop-box, etc. Basically, it would simulate most of the look-and-feel of the eForms. No built-in eForms scripts supported.
Softech migrated about 500,000 Auditor/Controller reports and 80,000 Assessor reports from FileNet Report Manager 4.x to CMOD 8.x for a large county government. Softech utilized their own RM2CMOD to help migrate the data from FileNet Report Manager to IBM CMOD 8.x
FileNet Upgrade Projects:
Softech worked with the staff of a utility and water supply agency to develop the installation and upgrade plan from IBM FileNet P8 3.5.2 to P8 4.5.2. Softech successfully completed the upgrade on the development/test environment on the Application Engine, Content Engine, Process Engine, WorkPlace XT, Records Manager systems. Softech assisted with the Event Scripts migration.
Softech reviewed this state retirement agency's current development/test and production environments and custom User interface application. Then an upgrade of their development/test environment from IBM FileNet 3.5.0 to 4.5.2 was conducted on the Application Engine, Content Engine, Process Engine, Process Analyzer, and Process Simulator. After the approval testing process was complete, Softech upgraded the production environment: Application Engine, Content Engine, Process Engine, and Process Simulator.
For this government agency and long term Softech customer; Softech successfully completed the upgrade from IBM FileNet P8 2.0.1 to 3.0 in 2006. The 3.0 to 3.5.2 upgrade April 2008. The 3.5.2 to v4.5 upgrade was completed in Nov 2009. Softech executed this upgrade under our free upgrade program as part of our FileNet Annual maintenance support contract. Softech also upgraded Image Services from 3.6 to the 4.1.2
The original system for this county government agency was FileNet P8 3.0. Since the client did not have a test system, Softech hosted a test system at its facility. The upgrade from 3.0 to 3.5.2 patch 12 was completed on the test system. Softech installed the FileNet 4.5 software upgrade on to new hardware for the production server. The final phase of the project updated and migrated Softech's Custom Application.
